# How to bulk edit articles

## Update the categories, tags, authors or status of many articles in one operation from the All Articles (new) list.

Bulk editing lets you change many articles in one operation instead of opening them one by one. In **All Articles (new)**, you select the articles, choose what to change, review the changes and start the operation. The CMS then applies the changes in the background, and you can follow the progress in **Jobs**.

With bulk editing you can replace the primary category, the additional categories, the editorial authors and the tags of the selected articles, and set their content status to active or inactive. You can also delete several articles at once.

#### Selecting articles

1. In the left sidebar, under **CONTENT**, select **All Articles (new)**.
2. Find the articles you want to change. Use the search field and the **Filters** panel to narrow the list; see [Using the new All Articles list](https://knowledge-base.sportal365.com/using-the-new-all-articles-list?hsLang=en).
3. Tick the checkbox at the start of each article's row. Ticking the checkbox does not open the article. The **Title** header shows how many articles are selected, for example **3 selected**.

4. To select every article on the current page, tick the checkbox in the header (**Select all articles on this page**).
5. To select articles across pages, use the **Select all 100 (max)** link in the header. Up to 100 articles are selected, and the link changes to **Unselect all**, which clears the selection. You can also untick rows one by one.

Bulk editing needs at least 2 selected articles, and you can select up to 100 articles at a time. With fewer than 2 articles selected, **Bulk editing** opens on the **Jobs** tab, and the **Bulk Operation** tab shows **Select 2 or more articles** with **Review changes** disabled.

#### Choosing the changes

1. With 2 or more articles selected, select **Bulk editing** in the toolbar. Its tooltip shows how many articles you are about to edit, for example **Edit 3 articles**.

2. The **Bulk editing** panel opens on the right, on the **Bulk Operation** tab. It shows how many articles are selected and the two steps of the operation, **Choose actions** and **Review**. As the panel notes, the changes are sent using your CMS account.

3. Under **Choose actions**, tick each field you want to change: 
     - **Primary category**: replaces the primary category.
     - **Additional categories**: replaces the existing additional categories.
     - **Editorial authors**: replaces the authors. The articles' **Created by** stays unchanged.
     - **Tags**: replaces the existing tags.
     - **Content status**: sets the same status for all selected articles.
4. For each field you tick, choose the new value in the field that appears under it: 
     - **Primary category**: pick one category from the list. Subcategories are shown indented under their parent category.
     - **Additional categories**: tick one or more categories in the category tree.
     - **Editorial authors** and **Tags**: search for and add one or more authors or tags.
     - **Content status**: pick **active** or **inactive**.

5. Select **Review changes**. It becomes available once every ticked field has a value.

The values you choose replace the existing ones; they are not added to them. For example, if you tick **Tags**, the selected articles keep only the tags you choose here. Every ticked field needs a value, so you cannot use bulk editing to empty a field.

To leave without making changes, select **Back to filters** to return to the Filters panel, or the **X** at the top right to close the panel.

#### Reviewing and starting the operation

1. The **Review** step shows the **Target**, the number of articles selected, and each change, for example **Change primary category**: Football and **Change content status**: inactive. Fields not listed here stay unchanged.

2. Read the warning below the changes: there is no automatic rollback. If you stop a job, items already being processed may still finish, and changes already applied remain.
3. To change something, select **Back**. To apply the changes, select **Start operation**.
4. The message **Operation accepted** appears, and the panel switches to the **Jobs** tab, where you can track the progress of the operation.

Check the review carefully before you select **Start operation**. The changes are applied to every selected article, and there is no automatic rollback: to reverse a change, you need to change the articles again.

#### Following the operation in Jobs

The **Jobs** tab of the **Bulk editing** panel lists the bulk operations of your project. To open it, select the **Jobs** tab in the panel, or select **Bulk editing** while fewer than 2 articles are selected; its tooltip then reads **View bulk operations history**.

- Use **All operations** and **Running** to switch between all operations and the ones still in progress. If no operation is running, no cards are listed under **Running**.
- Each operation shows its type, for example **Bulk update**, **Bulk delete** or **Bulk restore**, its state, when it started, and its progress, that is, how many of the selected articles have been processed.
- The states are **Queued**, **Running**, **Stopping**, **Finished** and **Stopped**.
- Users with an Admin or Super admin role can stop a running operation with **Stop operation**. You are asked to confirm, because items already being processed may still finish and changes already applied remain.

For example, a finished update of two articles appears as one card: **Bulk update** with the state **Finished**, the date and time it started, a full progress bar, **2 of 2 processed** and **100%**.

If another bulk job is already active in your project, the CMS asks you to check **Jobs** before you start a new operation.

#### Deleting several articles at once

1. In **All Articles (new)**, select the articles you want to delete, from 1 up to 100. The trash-can button next to **Bulk editing** (**Bulk delete**) turns red.
2. Select the trash-can button. The **Delete selected articles** dialog opens and asks you to review the selection before the deletion job starts, for example **Delete 3 selected articles?**

3. The dialog first checks the request (**Checking the deletion request…**). When the check is complete, select **Delete articles** to start the deletion job, or **Cancel** to close the dialog without deleting anything.

The deletion runs as a background job that you can follow in **Jobs**. Stopping the job does not undo articles already deleted.
